The project preparation lasted over a year and included scouting venues, assessing technical requirements, designing an optimal route, coordinating schedules across several countries, and building partnerships with local cultural organizations.
During the tour, we delivered
end-to-end operational support, including:
- accommodation arrangements for a large delegation across multiple cities;
- transportation on six charter buses along the entire route, plus ferry transfers (Helsinki–Tallinn);
- deployment of a team of 20 Japanese-speaking coordinators and interpreters across four countries;
- organization of cultural programs, ceremonial events, and local partner engagements;
- cooperation with media outlets and assistance with event coverage;
- coordination of the transport and handling of large taiko drums and other equipment between venues.
We facilitated all communication between the Japanese side and local partners, ensured smooth rehearsals and technical preparations at each venue, and supported participant safety and comfort throughout the tour.
The project was successfully completed, attracting thousands of spectators and receiving wide media coverage in the region.
